The Office of Research Administration (ORA) is initiating a new subaward request process. This new process will expedite ORA’s review and initiation of subawards, thereby ensuring subrecipients receive the correct agreements in a timely manner. A Subaward Request Form will be required to initiate an outgoing subaward from a sponsored project account. Principal Investigators and their departmental administrative staff are responsible for completing and submitting the new form, which can be found on the Research Administration Forms page.
New process:
For all incoming awards processed by ORA after July 3, 2017 which include funding to a Subrecipient, an email containing the following items must be submitted to subaward@iu.edu:
- A completed and signed Subaward Request Form
- The Subrecipient statement of work
- A detailed budget for Subrecipient’s work
- The most current IU prime award
The Subaward Request Form should only be submitted after the award from the prime funder has been received and processed through the IU system. Once the Award Summary is received by the Principal Investigator/Fiscal Officer, the Subrecipient Request Form should be submitted. ORA will not accept or “hold” the form and documents prior to processing the prime award.
Once the Subaward Request Form and documentation have been received, a Contract Officer will be assigned to write and execute the appropriate agreement. No action will be taken on the subaward agreement or amendment until a completed Subaward Request Form and appropriate documentation are received.
Subaward Request Forms can be found on the VPR website on the Research Administration Forms page. Also look for this link on the Award Summary sent from the ORA office whenever an award is processed.
